Our prices are stated net of VAT, which will be included in our charges at the applicable rate (currently 19%).
Ars Vivendi reserves the right to require a pre-payment of 50% of the quoted price for the event/meeting. This will be requested in the form of an invoice before the event.
For associated third party expenses (such as restaurant and hotel charges, which we are organising and settling on your behalf), we will charge a handling fee of 3% of the value of these third party expenses.
Payment terms:
8 days following receipt of the invoice.
Cancellations and material changes to ordered services/events:
A maximum of 10% of the originally agreed number of participants with the corresponding fixed services (including overnight accommodation, conference packages, room rental, event programs, external services) can be canceled free of charge up to 7 days before the event.
In all other circumstances, the following cancellation conditions/fees apply for all agreed fixed services (including overnight accommodation, conference packages, room rental, event programs, external services)

In the event that a discount on the pricing for a meeting/conference/event is offered, the discount will cease to be valid when the scope of the event and associated services is changed such that the required quota of services is no longer met.
